Turn on and turn off text messages

To receive text messages, you must have entered your mobile number under your profile. You will receive a text to confirm your number is entered correctly.

We use text messages to notify users of certain events, such as reminding them to submit their timesheet. If you decide you no longer want to receive these notifications, reply “STOP” to any text message. If you change your mind and want to receive text messages, reply “START” to the last message you received.

Standard text messaging rates may apply based on the subscriber’s plan with their mobile phone carrier.

Budget Alerts

Budget Alerts send emails to people when a budget setting is exceeded or within a certain limit.  Budgets are checked daily at midnight, using your company’s timezone setting. Once triggered, an email will be sent weekly until the budget alert is removed.

There are four budget types:

  • Cost Per Task – This budget type uses the Budgeted Cost defined for each task to determine when to trigger a budget alert.
  • Hours Per Task – This budget type uses the Budgeted Hours defined for each task.
  • Total Project Cost – This budget type uses the Budgeted Cost defined in the Project Overview.
  • Total Project Hours – This budget type uses the Budgeted Hours defined in the Project Overview.

Note: Budget alerts use approved and unapproved time. Only administrators can create budgets. And you must be on a paid plan to use budget alerts. Budget alerts are sent at 11 p.m. EST.

Creating a Budget Alert

Click Settings then Projects.  Click on the Project you want to have a budget.  Under the Budget Alert section, click Add Budget Alert. Complete the form then click Add Budget Alert.

Delete a Budget Alert

Go to the Budget Alert section under a project then click Edit. In the bottom right, click Delete Alert then confirm by clicking Yes.

 

 

Invoice Sets

Invoice Sets

Invoice Sets allow you to customize invoices beyond the default display settings. You can change label names, hide certain fields, repeat footer information, and even change an invoices layout (requires custom invoice).  Each invoice is assigned a single Invoice Set. The Invoice Set assigned controls the way the invoice is displayed.  For example, you can create an Invoice Set that renames Quantity to Qty and hides the Discount field.  You may want another invoice that always displays your banking details in the footer.  Invoice Sets are really flexible.

Creating an Invoice Set

Click Settings then Invoices. Under the Invoice Sets section click Add Invoice Set. Give the Invoice Set a name to help you distinguish it from others and adjust the settings to suit your needs.  Once added you can edit an invoice to use the new Invoice Set.

Note: Every account has a default Invoice Set that cannot be deleted.  This Invoice Set will display “(Default)” beside the name.

Editing an Invoice Set

Click Settings then Invoices. Under the Invoice Sets section click Edit beside the Invoice Set you want to edit.

Deleting an Invoice Set

Click Settings then Invoices. Under the Invoice Sets section click Edit beside the Invoice Set you want to remove.  The option to delete the Invoice Set will be at the bottom.

 

Custom Invoices

Invoice Templates

We routinely create custom invoices for customers with unique requirements or that just want their invoice to look a certain way.  Get a quote for a custom invoice by sending an email to contactus@support.weworked.com with a sample of the invoice you want us to reproduce.  You will be able to select your custom invoice template from your Invoice Set.

Reviewing Leave Requests

You can only view Leave Requests of the people whose timesheet you can review.  You will see the total number of Leave Requests pending your review from the Dashboard. Click Requests Pending to view the Leave Requests.

In the left panel, click Pending, Approved, or Denied to see the Leave Requests with the status you select. Click Approve or Deny to change the status of the Leave Requests. Denying a Leave Requests requires an explanation.  You can change the status of any Leave Request.  Approved Leave Requests can be changed to denied and denied Leave Requests can be changed to Approved.  All events are captured in the history of the Leave Request.

Entering a Leave Request

Click My Requests in the Dashboard.  Then click New Request.  Fill out the leave information then click Create Request.  Your leave request will go into a status of Pending.  And an email notification will go to the person you selected to be notified.

Note: To request leave your profile must be configured for WeWorked to track your leave balances and accruals.  You will know if “Track Leave” is enabled in your profile if you can view your leave balances in the Dashboard.

 

Task Timer

WeWorked has a built in task timer to help you keep track of the time you spend on individual tasks. You can start and stop the timer whenever you like. The timer will also add recorded time to the time you previously entered. All the math is done for you automatically.

To use the timer, switch to the daily view screen.

Then click the timer icon beside the task you want the timer to keep track off. You must add the task to the timesheet before you can start using the timer. The timer will start automatically.

Once you finished working on the task, click Add Time to Task. Your changes are automatically saved and the new time is added to any existing time.

You must keep the timer screen window open for the timer to work. Just open another tab in your browser if you need to do other things.
